Onboarding/HR
Vanderbilt Human Resources has created Vanderbilt Voyage, a one-stop-shop for all of your onboarding needs. Please review the list of required actions to complete prior to your first day of work, including how to claim your VUNet ID, how to obtain your email account and ID card, information about parking options, and how to initiate your Voyage. If you have any questions about your onboarding, please email Vanderbilt HR at human.resources@vanderbilt.edu.
See the university Payroll Schedule for the calendar year.
Benefits
After your department confirms your employment with the VU benefits team, you will receive an email from Vanderbilt HR with enrollment information. Review the university’s benefits information and enroll within 30 days of your hire date. If you do not enroll, and you are fully benefits-eligible, you will automatically be enrolled in the Choice CDHP medical plan at the employee-only coverage level for the remainder of the plan year.
Open enrollment takes place annually in October. Human Resources offers multiple open and individual sessions for employees to review insurance options. The HR benefits team is always available to answer questions regarding benefits at benefits@vanderbilt.edu.
The Vanderbilt benefits website includes helpful information, including benefits eligibility and a full list of medical and non-medical benefits provided to Vanderbilt staff.
IT
Your department will help you to set up your computer station when you arrive. Vanderbilt IT is available to assist with any needs. You can submit a help request ticket and a technician will respond to your inquiry.
You can also reach VUIT at (615) 343-9999 or it@vanderbilt.edu.
Calendars & Events
University Calendar
Review the university’s official holiday calendar and the academic calendar, noting university closures, semester dates, and exam schedules.
The Center for Spiritual and Religious Life publishes an annual holy days calendar with official days of observation for use and event planning and/or faculty support.
College of Arts & Science Staff Meetings
Once per semester, the A&S staff gathers to share college-wide news, learn about changes in policies, hear from guest speakers, and celebrate administrative awards. Meeting dates will be communicated by the College of Arts and Science Dean’s Office and typically occur in October and May.
Policies
Please visit the Policies page for a full list of policies and procedures.
The A&S Faculty Resources webpage includes additional information that might be helpful, including procedures for faculty appointments, reappointments, and promotions.
Public Safety
Vanderbilt Public Safety offers AlertVU as a resource for emergency preparedness information. It is strongly recommended, although not required, to provide a mobile phone (voice or text), landline, or a personal email for campus public safety alerts in addition to your Vanderbilt email address. If you are interested in opting into these alerts on your personal phone or email, review and update your AlertVU information within Oracle Cloud to ensure that you receive these alerts via a point of personal contact.
Relocation Resources
If you are relocating to Nashville, there are many resources available to you. One is Fridrich & Clark Relocation Services (which provides information about schools, community links, and utility companies by county). You can also explore Greatschools.org.
Headshots
Vanderbilt provides professional headshots free of charge to faculty and staff. Reach out to the Division of Marketing and Communications to schedule a photo shoot in the photography studio.
