Policy
This policy provides information and guidelines to College of Arts & Science faculty and staff regarding furniture purchases. It is important to follow these guidelines to ensure we have furniture that is durable, environmentally sustainable, safe, and flexible.
Overview
- All furniture purchases must adhere to approved Vanderbilt procurement policies, methods, and vendors.
- Furniture must be commercial grade, not residential grade. Residential grade furniture does not hold up to sustained use, moves, and reconfigurations. Commercial grade furniture provides longer warranties and greater durability.
- All fabrics must be flame-retardant or meet or exceed the California 117 Technical Bulletin for Flammability. Note that residential grade furniture is not required to meet this standard.
Faculty Offices
- A&S faculty offices should be equipped with a desk, task chair, file cabinet, bookcases, and two guest chairs. If these items are worn out or broken, please discuss replacement furniture with Ginger Hitts.
- Purchases for new or additional faculty office furniture are funded through faculty or departmental resources.
Lab Furnishings
- Furnishings and equipment will depend on the needs of each individual lab.
- Funding for lab furnishings and equipment not included in new faculty renovation agreements are sourced from faculty start-up funds.
- All lab furniture surfaces (including chairs) should be made of cleanable, non-porous materials.
- Please contact Jamison Jones before making any lab furnishing purchases.
Furniture Maintenance
- To ensure cost-effectiveness, consider repairing, cleaning, or reupholstering existing furniture before replacing it. Quality furniture should be repurposed whenever possible.
- Ensure proper disposal at the end of furniture lifecycle.
Procurement Methods
- All furniture purchases must adhere to approved Vanderbilt procurement policies, methods, and vendors. Exceptions require prior approval from both Ginger Hitts and Procurement.
- Faculty should refrain from direct orders or seeking reimbursements for furniture.
- Submit quotes and drawings to Ginger Hitts for review before finalizing any order in Oracle.
Purchasing Process
- Look at the items available for A&S spaces.
- Go to the company website to confirm the item, size, color, etc. that you want. Refer to the preferred A&S colors and finishes before making your selection.
- Contact the relevant vendor and request a Furniture Proposal.
- Send your selection to Ginger Hitts for approval, along with the Furniture Proposal you received from the vendor.
- Make the order through the regular procurement process. Purchases are funded through faculty or departmental resources.
