Travel-embedded courses, curricular and supplementary field trips, and course outings offer students innovative and hands-on learning. Departments planning to travel with undergraduate students during the academic year must secure A&S Dean’s Office approval for the following scenarios:
- Credit-bearing travel
- Course fee collected
- Leaving Davidson County
- Overnight trips
- Local travel that requires renting vehicles
- Research/travel that requires getting in an open body of water
Travel-embedded courses should be submitted and approved the semester before course offering. Field trips should be submitted and approved no later than six weeks before the departure date. Deadlines for course outings are determined at the department and program level.

Undergraduate Field Trips (Course-Related and Supplementary)
Field trips are an exciting and innovative opportunity for students to engage in course content away from Vanderbilt’s campus. In select cases where students leave campus, the department/program must seek approval from the A&S Dean’s Office.
Field trips include travel away from campus for curricular or co-curricular learning outcomes (e.g., extra credit, research, Immersion, etc.). This can be related to a course, but participation is not related to a course assignment and the participant list can expand to students not enrolled in the course (i.e. Honors students, those engaged in academic research, Immersion, etc.).
Faculty should submit field trip submissions via REDCap. Submissions are due no later than six weeks prior to departure date. This allows for proper review by the A&S Dean’s Office and campus partners.
All trips should include a primary faculty lead and a travel partner or co-instructor. All trips should have two Vanderbilt employees attending, with a preference for faculty participants.
Course and/or Department Outings
Off-campus travel that does not require a course fee, does not require transportation, or does not take students out of Davidson County can be administered primarily by the academic department or program. Faculty interested in taking students off campus should consult department leadership for internal processes.
